Billing & Subscription

Manage your PrepStation subscription, payment methods, and billing information.


Accessing Billing

  1. Click your avatar in the top-right corner
  2. Select Billing from the dropdown

Note

Only account administrators can access billing settings.


Your Subscription

Viewing Your Plan

The billing page shows:

Information Description
Current Plan Your active subscription (Free, Pro, etc.)
Billing Cycle Monthly or Annual
Next Billing Date When you'll be charged next
Amount Your subscription cost

Plan Features

Plan Features
Free Recipes, Ingredients
Pro All features: Menus, Inventory, Vendors, Invoices, Production, AI Assistant, and more

Changing Plans

Upgrading

Upgrades take effect immediately:

  1. Go to Billing
  2. Click Change Plan
  3. Select your new plan
  4. Confirm the change
  5. You're upgraded instantly

Billing adjustment:

  • Pro-rated credit for unused time on your old plan
  • Charged the difference for the new plan

Downgrading

Downgrades take effect at the end of your billing period:

  1. Go to Billing
  2. Click Change Plan
  3. Select the lower plan
  4. Confirm the change

What happens:

  • You keep your current plan until the billing period ends
  • Downgrade activates on the next billing date
  • Features not included in the new plan become unavailable

Important

Before downgrading, ensure you've exported any data from Pro features you'll lose access to.


Payment Methods

Viewing Payment Methods

Your current payment method appears in the billing section.

Updating Payment Method

  1. Go to Billing
  2. Click Manage Payment Method
  3. You'll be redirected to the secure payment portal
  4. Update your card details
  5. Return to PrepStation

Payment processing is handled securely by Stripe.

Failed Payments

If a payment fails:

  1. You'll receive an email notification
  2. Update your payment method
  3. The system will retry the charge

After multiple failures, your account may be downgraded to the Free plan.


Billing Information

Billing Email

Invoices are sent to your billing email:

  1. Go to Billing
  2. Update the Billing Email field
  3. Click Save

This can be different from your login email.

Additional Billing Info

Add information to appear on invoices (company name, tax ID, address):

  1. Go to Billing
  2. Enter your Additional Billing Information
  3. Click Save

Viewing Invoices

  1. Go to Billing
  2. Scroll to Billing History or Invoices
  3. Click any invoice to view or download

Invoice Contents

Each invoice includes:

  • Invoice date and number
  • Plan and billing period
  • Amount charged
  • Payment method used
  • Your billing information

Canceling Your Subscription

How to Cancel

  1. Go to Billing
  2. Click Cancel Subscription
  3. Confirm cancellation

What Happens When You Cancel

Timing Effect
Immediately Metered or unpaid subscriptions end now
End of period Paid subscriptions continue until the billing period ends

After cancellation:

  • Your account reverts to the Free plan
  • Pro features become unavailable
  • Your data is preserved (recipes, ingredients remain)

Reactivating

To resubscribe after canceling:

  1. Go to Billing
  2. Select a plan
  3. Complete payment

Trial Period

New Pro subscriptions include a trial period:

Trial Length 14 days
During trial Full access to all Pro features
Payment Not charged until trial ends
Cancel anytime Cancel before trial ends, no charge

Trial Expiration

When your trial ends:

  • You'll be charged for the Pro plan
  • Or downgraded to Free if no payment method

Common Questions

Q: When am I charged?
A: At the start of each billing period (monthly or annually), and when upgrading.

Q: Can I get a refund?
A: Contact support for refund requests. Refunds are handled on a case-by-case basis.

Q: What happens to my data if I downgrade?
A: Your data is preserved. You just can't access Pro features until you upgrade again.

Q: Can I switch between monthly and annual billing?
A: Yes. Change your plan to switch billing cycles.

Q: Is my payment information secure?
A: Yes. Payment processing is handled by Stripe. We never see or store your full card details.

Q: How do I update my billing address?
A: Add it in the Additional Billing Information section.
