Quote Defaults
Quote defaults are the starting dates and the "someone opened this" email for every new sales order. Set them once so each quote doesn't need the same edits.
Open Sales & Finance → Sales Configuration → Sales Settings.
The page saves on its own after you pause. Change a number and it applies to quotes you create after that. Quotes already sent keep the dates they were given.
Quote validity (days) and Notify when a customer views a quote are on this page. The page saves after you pause.
How long a quote lasts
Quote validity (days) is how many days a new quote stays valid. PrepStation fills the expiration as the order date plus this many days.
Leave it blank when you don't want an expiration filled in for you. You can still set a date on an individual order.
When a customer opens the quote
Notify when a customer views a quote tells the team that owns the order the first time a customer opens a quote you emailed, or one they emailed themselves from the store.
A few limits are built in:
- Only the first open is reported. Later visits stay quiet
- Emailing the quote again starts a fresh notification
- Orders placed directly on the website are left out. Those already notify as new online orders
- With no team on the order, admins and managers are notified
The same switch has to be on for the quote-view email described in Notifications.
When the balance is due
Default net terms (days) sets the payment due date on on-account orders: the order date plus this many days. Use 0 for due on receipt.
A customer's house-account terms win over this number. See Adding Customers.
Who owns the order
Channel routing stamps a sales team on new orders by where they came from, so storefront orders can land on one team and phone orders on another. Anyone can still reassign an order.
The table appears after you have a sales team. Create a sales team is the link when the list is empty. No routing leaves the account default empty for that channel.
Cancellation fees are per location. On this page, Cancellation policy links to that location's settings.
Common Questions
Q: I set validity to 14 days and an old quote still shows 30.
A: The default fills in when the order is created. Open that quote and change its expiration if it should match the new window.
Q: I turned on quote-view notifications and a website order didn't email me.
A: Website checkouts notify as new online orders. The view email is for quotes the customer opens from a link.
Q: Net terms on the customer and net terms here disagree.
A: The customer's house-account terms are the ones that get used.
