Adding Customers
A customer is the person or company you sell to. Storefront checkouts create one when a guest places an order. Add one yourself when the order comes in by phone.
Add a customer
- Open Sales & Finance → Customers & CRM → Customers
- Click Add Customer (or Add Your First Customer if the list is empty)
- Enter a Customer Name
- Choose Customer for a person or Company for a business
- Add an Email if you have one. You can skip it and fill it in later
- Click Add Customer
Add Customer opens Customer Name.
The next screen is Customer Details. Changes there save as you edit. You can add addresses, tags, and billing after the name exists.
Note
Delete on a customer moves them to Archived. Open View Archived and click Restore to bring them back. Restoring asks you to confirm.
A company with contacts stays a Company. You can't switch it back to a person while those contacts exist.
Addresses and contacts
On Details, click Add address for a billing address, a venue, or both. Saved addresses show up when you build a quote, so repeat clients don't retype the venue.
For a company, open Contacts and add the people who actually order or pay, such as an event planner and an accounts payable clerk.
Storefront login
If the customer should see their own orders online, they need an email.
On the customer page, under Online ordering, click Invite to storefront. They get a link to set a password. Resend invite sends it again. Invite to Storefront on the customer list does the same thing for several people at once.
Without an email, the page says to add one before you can invite.
After they set a password, the store menu shows My account. That page is titled Your account and has Orders, Quotes, Invoices, and Addresses. The home of that account shows open quotes, recent orders, and the balance due. Sign out leaves the account. Group orders appears there when group ordering is turned on for the store.
Tax on their orders
Under Billing & Pricing on Customer Details, Default tax rate is the fallback for items that don't have taxes of their own. Rates checked on the dish still win. See Sales Tax.
House accounts
House Accounts is a charge-now, pay-later line for that customer at a location. If you don't see that section, your plan doesn't include it.
- Open House Accounts
- Click Open Account
House Accounts is its own section on the customer. Open Account is there when that location doesn't have one yet.
- Pick the Location
- Set a Credit limit, or leave it blank for unlimited credit
- Set Net terms (days), or leave it blank to use the customer's default
- Set Status to Active, Hold, or Closed, then click Open Account
The account shows a balance and how much credit is left. Statement opens the activity. Status can be Active, Hold, or Closed. Hold stops new charges without erasing the balance.
Common Questions
Q: A storefront order already created a customer. Do I add them again?
A: No. Search Customers for their name or email and use that record. A second record splits their history.
Q: What's the difference between Customer and Company?
A: Customer is one person. Company is the business, and Contacts are the people at that business.
Q: Can I undo an invite?
A: The email is already sent. You can leave the login unused. Set Account status to Blocked to stop further invites.
